Moderator

A Moderator is the person who initiates the chat session. The moderator is the only person who can initiate a discussion and invite members. The moderator can also remove one or more members from a discussion at any time or close the discussion.

Member

A Member is a person who has been invited to a chat discussion by the Moderator. A Member can only accept an invitation and chat. A Member cannot invite other people to the discussion.

 

The Chat feature allows you (the Moderator) to open a two-way communication session with one or more remote users (the Members).

Note: The Chat feature can be disabled so that it is not accessible from within Goverlan. See How to disable Goverlan Features


To start the Chat feature:

Inviting Members to a Chat

To invite a remote user to a chat session, click on theInvite... link located in the task panel of the Chat window (figure A). Clicking on Invite... prompts you for a machine name. Enter the machine name of the remote user to chat with (figure B). If you wish to invite more than one user, click on the Advanced button and specify a list of remote machines to invite (see Using the Select Computers feature).

Once you have specified the machines names, the Discussion Topic window is displayed (figure C).

Note: If you started the Chat feature using one or more target selections, you are immediately prompted for the discussion topic, bypassing the machine selection phase.

In the Discussion window, you can specify a discussion topic and your signature. The discussion topic can only be specified when the chat session is initialized. It cannot be changed once the chat session includes members. You can also enable or disable the following options:

Allow user to decline invitation

Enable this option to authorize the remote user to decline your invitation. When enabled, the remote user sees an invitation notice:

The moderator can view the status of his/her invitation in the Waiting for section of the task panel. At any time, the moderator can cancel a pending invitation by clicking on the invitee's link of the Waiting for section.

Show discussion history

If a chat session has already started and the moderator invites new members, the option Show discussion history is available. If this option is enabled, the full history of the discussion is sent to new members as they join the discussion.

Sending Messages

To send a message to the discussion group, type the text in the Message field and click on Send. The text message is automatically routed to all members in the discussion. Also, any message sent by a member is routed to all other members in the discussion.

All members and the moderator are allocated a unique text color to easily identify them during a discussion. The Goverlan Messenger System also sends notification messages to the chat windows which always appear in a light gray color. The Messenger System sends messages to notify the members of the miscellaneous chat events as they are occurring. For example, when a new member joins the discussion or leaves.

The Moderator can also send a sound notification to all members when special attention is required. To do so, click on the Send Sound notification link in the task panel.

Tip: Knowing when or if a remote chat user has finished writing his/her message can be difficult. The status bar of the chat window for the moderator and members displays a notification message indicating who is currently typing a message. If the status bar is blank, no one is typing a message.

Removing members from the discussion

The members of a chat session are displayed in the Members section of the task panel (the task panel is only available to the moderator). To remove a member from a chat session, the moderator can click on his/her name in the Members section.

 

Closing a chat session

Each member may leave the chat session at any time by clicking on the Leave... button of their chat window. When a member leaves the chat session, a notification message is sent to all other members and the moderator.

The moderator can end the chat session and disconnect all members simultaneously by closing the chat window.
